•    Medical history, injury details, treatment notes, and clinical assessments
•    Referral information from healthcare providers
•    Payment and health fund details
•    Audio and/or written transcriptions of consultations (where consent is provided — see Section 5)
This information is collected for the purpose of providing physiotherapy services and managing your care.
 

2. How We Collect Information
 

Information is collected directly from you, or from authorised third parties such as referring practitioners, insurers, or health funds. Information may be collected in person, via forms, online bookings, email, or telephone.
 

3. Use and Disclosure of Information

Your information is used to:
•    Provide and manage physiotherapy treatment
•    Communicate with you regarding appointments and care
•    Process payments and health fund claims
•    Meet legal, regulatory, and professional obligations
We will not disclose your personal information without your consent, unless required or authorised by law.
 

4. Data Security

We take reasonable steps to protect your information from misuse, loss, unauthorised access, or disclosure. Records are stored securely using password-protected systems and encrypted clinical software.

5. AI-Assisted Clinical Documentation (Heidi)

We use Heidi, an AI-powered clinical documentation platform, to assist with the transcription and summarisation of consultations. This technology supports accurate clinical note-taking and improves the efficiency of your care.
The following applies to the use of Heidi:
•    Consent: Heidi will only be used with your explicit verbal and/or written consent prior to or at the commencement of your consultation. You may decline its use at any time without affecting the quality of your care.
•    Data captured: With your consent, audio from your consultation may be processed by Heidi to generate clinical notes. Audio is not retained by Heidi after transcription is complete.
•    Data storage and security: Transcriptions and clinical summaries generated by Heidi are stored securely within our clinical software and are subject to the same privacy protections as all other health records held by Omnia Physio.
•    Third-party processing: Heidi Health Pty Ltd processes data on our behalf as a contracted service provider. Heidi operates in accordance with applicable Australian privacy legislation. For further information, refer to Heidi's Privacy Policy at www.heidihealth.com.
•    Purpose limitation: AI-generated notes are used solely for the purposes of clinical documentation and continuity of care. They are reviewed and verified by your treating physiotherapist prior to being finalised.
•    Your rights: You may request access to, correction of, or deletion of any transcription or AI-generated note at any time by contacting us directly.

7. Complaints

If you have concerns about the handling of your personal information, please contact us directly. Complaints will be managed in accordance with our obligations under the Privacy Act 1988 (Cth). If you remain unsatisfied, you may refer the matter to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
